How to respond to Google reviews, with examples

A review reply is public customer service: future customers read it more carefully than the review itself. Use three steps every time: thank the reviewer, address their point, and take private details offline when needed. Keep it short, specific and calm.

Why replies matter

When someone compares two businesses on Google, they read your reviews and your replies. A thoughtful reply to a bad review can win more trust than a page of five-star reviews, because it shows how you behave when something goes wrong. Google also says that responding to reviews shows customers you value their feedback.

The three-step formula

  1. Thank the reviewer. Use their name and thank them for taking the time, even when the review is negative.
  2. Address the point. Mention what they actually said. If something went wrong, own it and say what you've changed.
  3. Take private details offline. Never discuss account numbers, health information or long disputes in public. Give a name and a way to reach you.

Replying to positive reviews

Keep it warm and specific. Mention the service, the team member or the result, which also helps future readers know what you do.

ReviewExample reply
"Fast, friendly AC repair. Fixed the same day."Thanks, Maria! We're glad we could get your AC running the same day, especially in this heat. Marcus will be happy to hear the kind words.
"Best haircut I've had in years."Thank you, Chris! That's lovely to hear. See you in six weeks, and say hi to Ana when you're back.

Replying to negative reviews

Wait until you're calm, then reply within a day or two. Stick to facts, don't argue, and show what you'll do next.

SituationExample reply
You made a mistakeThank you for the honest feedback, Jordan. You're right, we should have called when the part was delayed. We now send same-day updates. I'd like to make this right, so please call the shop and ask for Dana.
Mixed reviewThanks for the review, Sam. We're glad you liked the food, and sorry the wait was long on Saturday. We've added a host on weekends to speed things up.
Review you can't identifyThank you for sharing this. We can't find a visit matching these details, and we'd like to look into it. Please email us so we can help.

If a review is fake, offensive or breaks Google's policies, don't argue in the reply. Flag it for removal from your Google Business Profile instead.

  • Offers of discounts or refunds in exchange for changing or removing a review.
  • Personal attacks, sarcasm or blame.

Frequently asked questions

Should I reply to every Google review?

Yes. Reply to positive and negative reviews alike. It shows you're active and that you listen.

Do review replies help SEO?

Replies aren't a direct ranking switch, but an active profile with recent reviews and replies builds trust with customers and supports how Google sees your business.

Can I delete a bad Google review?

No. You can only flag reviews that break Google's policies, such as spam, fake or offensive content. Google decides whether to remove them.

How long should a review reply be?

Two to four sentences is usually enough. Long replies to negative reviews often read as defensive.
